Terms and Conditions
Behaviour
We hold our students to the highest standards when it comes to behaviour and conduct at school, and they consistently meet our expectations. However, please be aware that participation in any school trip is dependent upon your child’s ability to fully cooperate with staff and peers, act responsibly, and adhere to school rules. In the rare instance that a member of staff deems a student's behaviour unsuitable, they reserve the right to remove the student from the trip for safeguarding reasons. Please note that all payments are non-refundable, and you may still be required to settle any outstanding balances, as these funds may already be committed to the trip operators or venues.
Cancellation and Refunds Policy
In the unlikely event that a trip is cancelled due to circumstances beyond the school's control and not covered by our insurance, the school will make every effort to recover funds from the trip provider. However, if no refunds are obtained, the school will be unable to issue reimbursements.
Payment Obligation
While parents are not required to make contributions towards compulsory educational trips, it is likely that a trip will be cancelled if insufficient funds are collected. In cases of exceptional financial hardship, the school will attempt to provide support. If you are unable to contribute, please contact the Trip Leader to discuss potential arrangements for your child’s participation.
Payment Methods
Payments for trips can be made via ParentPay at www.parentpay.com. If you are not yet registered with ParentPay, you can request an activation code from the finance office. For any assistance, please contact the finance office at 01566 772468 (option 4) or email finance@athenalearningtrust.uk.
Passport and GHIC Information
It is the responsibility of the parent/carer to provide up-to-date passport and GHIC (Global Health Insurance Card) details for their child. These details are required to confirm your child’s place on the trip, along with any other necessary information. We recommend that passports have at least six months of validity remaining on the day of travel.
What is GHIC and How to Apply for One
A valid UK GHIC (Global Health Insurance Card) is required for all European trips. Please note that a GHIC is not a substitute for travel insurance. These cards are free, and you can apply directly at the NHS website.
If you already have an EHIC (European Health Insurance Card), it will remain valid until its expiration date. After it expires, you will need to apply for a new GHIC.
For all school trips, students are covered under Launceston College’s trips insurance policy. You may request further details from the finance team.
Medical Information
Parents/carers are responsible for keeping the school informed of any medical conditions related to their child. Updates can be sent via email.
